This notice explains how we handle personal data. Outside of our established business relationships, which are covered by separate legal agreements, we collect minimal information - mainly from individuals who contact us through our website.

What Information We Collect: If you submit an inquiry, pitch deck, or other information through our contact form or via email, we collect what you provide (name, email, message, attachments).

 

How We Use Your Information:

• For website inquiries or direct email inquiries, we use your information to respond to your request. If your submission describes a potential investment opportunity, we may retain your information in our CRM records and contact you periodically to assess alignment with future investment opportunities.

• For our business partners, including Limited Partners and Portfolio Companies, we use information to operate funds, conduct due diligence, comply with regulations (KYC/AML), and communicate about your investment.

 

How Long We Keep It:

• Partner data: Retained for the life of the fund and 6 years afterward (required by law).

• Website inquiries: Retained for 1 year, or longer if added to our CRM as a potential investment opportunity. CRM records are reviewed periodically and retained until the opportunity is no longer relevant or at your request.

 

Who We Share It With: We only share your information with service providers (accountants, lawyers, administrators) who are bound by confidentiality agreements, and with regulatory authorities when required by law.

 

How We Protect It: We maintain safeguards including encryption, multi-factor authentication, and restricted access to protect your information from unauthorized access or loss.

 

If There Is a Data Breach: In the unlikely event of a confirmed data breach, we will notify affected individuals within 30 days and regulatory authorities within 72 hours if required by law (GDPR/PIPEDA).

 

Your Rights: You have the right to request access to your personal data, correct any errors, request deletion (subject to legal obligations), and file a complaint with your data protection authority. To exercise these rights, email privacy@evokinnovations.com with your full name, your relationship to Evok, and a description of your request. We will respond within 30 days.
